Thinking of Moving Your Coaching Business to One System? Here's What Happens to Everything You've Already Built

  • The aim is not to move everything just for the sake of it. It is to make running your coaching business simpler.
  • My advice? Move your essential client and enquiry information first. You can tidy up and improve your processes as you become more familiar with your new system.
  • You get to decide what makes sense for your business. If your current website is doing a great job, there may be no reason to change it just yet.
  • AI is not going to make every migration completely automatic. But it can remove quite a lot of the technical work that used to make setting up business software feel so intimidating. And that matters when you would rather be spending your time coaching clients.

If you have been running your coaching business for a while, I would not mind betting you have collected a few software subscriptions along the way.

Maybe you started with Calendly so people could book coaching calls. Then you needed ActiveCampaign or Mailchimp to manage your emails. Perhaps you created a course in Kajabi, built a website on WordPress, added Zoom for client sessions and connected Stripe to collect payments. And somewhere along the way, you added a few more tools to make everything work together. Sound familiar?

None of those platforms is necessarily a problem on its own. But when you are running your business across five, six or even ten different systems, things can become unnecessarily complicated. You are paying multiple subscriptions, learning different dashboards and trying to remember which platform does what. And if something stops working, you have got to work out where the problem is.

So when you discover that a platform like Ready Made Marketer (RMM) can bring many of those functions together, it sounds rather appealing. Until you start thinking about everything you have already built.

  • What happens to my email list?
  • Will I have to recreate all my courses?
  • What about my existing clients and appointments?
  • Am I going to spend weeks trying to set everything up?

These are exactly the questions I would want you to ask before making a move. Because if you have spent years building your coaching business, the last thing you need is a software change that disrupts it.

The good news is that moving to one system has become considerably easier, particularly with the latest importing, integration and AI features. But some things are much easier to move than others. Let us look at what you can actually do, how much technical knowledge you will need and how to make the change without creating a mountain of extra work for yourself.

First, you do not have to move everything at once

I think this is one of the biggest misunderstandings about moving business software. People assume they need to cancel all their existing subscriptions, move every contact, rebuild every website page and recreate every automation before they can start using their new system. You do not. In fact, I would not recommend doing it that way.

There are three ways to bring your existing business into RMM.

1. Connect your existing tools

Some platforms can connect directly to RMM, allowing you to keep using them while bringing relevant information or activity into your new account.

2. Import your existing information

Things like contacts, customer details, course content and sales information can often be imported using dedicated tools or CSV files.

3. Recreate what you want to replace

Some websites, forms, emails and automations will need rebuilding. But the newer AI features can help you create many of those things without having to learn every technical step first.

The important thing is deciding what you actually need to move. You might discover that keeping one existing tool makes perfect sense, while replacing several others could save you time and money. And that is absolutely fine.

The aim is not to move everything just for the sake of it. It is to make running your coaching business simpler.

Which coaching software can you move to Ready Made Marketer?

Here is an overview of some of the tools coaches commonly use and what moving them generally involves.

The difficulty depends on how many features you are using and how complicated your current setup is. For example, moving one booking calendar is very different from moving an entire coaching academy with hundreds of members, several courses and recurring subscriptions. But you may be surprised by how much can be transferred or recreated without having to start from scratch.

Moving from Calendly: What happens to your bookings?

Let us start with something most coaches use. Your calendar. If you have already got Calendly set up with your coaching sessions, discovery calls and appointment reminders, you probably do not want to disturb something that is working. And you do not have to.

Option 1: Connect Calendly to RMM

RMM supports an integration with eligible Calendly plans. This allows new bookings from selected Calendly calendars to appear inside your RMM account. Relevant contact information can come across too, allowing you to manage those enquiries and trigger follow-up workflows. The connection also imports upcoming appointments and supported historical appointments (up to the last 180 days) when it is first set up.

It is worth knowing that this is a one-way integration from Calendly into RMM, and it requires a supported Calendly subscription. But it can be a useful stepping stone if you are not ready to replace your existing booking system immediately.

Option 2: Replace Calendly with RMM's own booking calendars

If your aim is to reduce subscriptions, you can create your booking calendars directly in RMM. For example: free discovery calls, paid coaching sessions, group coaching appointments, one-to-one client sessions, and team bookings with different appointment types. You can set availability, appointment lengths, booking forms and reminders, and connect a supported external calendar to help avoid scheduling conflicts.

If you are currently using Calendly with Zoom, you may also be able to replace both using RMM's calendars and Meeting Rooms.

How difficult is it?

For a straightforward coaching calendar, this is usually one of the easier things to set up. Multiple team members, complex availability and existing payment arrangements will need more attention. The main thing is to test your new calendar before replacing the booking links you have already shared. And do not forget all those places where your booking link appears, including your website, emails and social media profiles.

Moving from ActiveCampaign, Mailchimp or Kit: Will you lose your email list?

Absolutely not, provided you export and import your information correctly. Your email list is an important business asset. You have spent time attracting subscribers, creating free resources and building relationships with people who may eventually become clients. You do not want to lose that.

Fortunately, platforms such as ActiveCampaign, Mailchimp and Kit provide ways to export your subscriber information. You can then import supported data into RMM. This commonly includes names, email addresses, phone numbers, tags and other relevant contact fields.

What about your existing email sequences?

This is the part that may require more work. Let us say you have got an ActiveCampaign sequence that delivers a free guide, follows up a few days later and eventually invites someone to book a coaching call. The contact information can be transferred, but you should not assume the automation itself will automatically work in RMM. It may need recreating.

However, here is where things have become much easier. RMM now has AI tools that can help you build those automations by describing what you want to happen. So instead of manually working through every technical setting, you can explain the process in ordinary language.

For example: When someone downloads my free coaching guide, send the guide immediately, follow up two days later and invite them to book a free call after another three days. Ask AI can help create that workflow. You will still need to check the emails, triggers, timing and any conditions before turning it on. But you no longer have to build every step completely unaided.

And your original email content does not need rewriting simply because you are changing platforms. You can reuse it. One important thing to remember is to preserve your unsubscribe information and marketing permissions. Changing email platforms does not change the rules about who you are allowed to contact.

Moving from Kajabi: What happens to your courses?

Now this is where I can imagine quite a few coaches getting nervous. You have probably spent months creating your courses. You have recorded videos, written lessons, uploaded worksheets and organised everything into modules. The thought of recreating all that manually is enough to put anyone off moving platforms.

But there is some very good news. RMM's underlying platform has a dedicated Kajabi course importer. This can bring supported published course content into RMM, including lesson text, videos, images and course structure. So you do not necessarily have to sit there copying every lesson individually.

Does everything transfer automatically?

No, and this is an important distinction. Things like quizzes, assignments and assessments are not included in the standard course-content import. Your offers, payment arrangements, course access and some membership settings also need checking and may require separate setup. If you have got students currently working through a programme, you will want to make sure their access and experience are carefully managed during the move.

But transferring the actual course material can be considerably easier than rebuilding it all manually. For a coach with one or two courses, that could make the prospect of switching much more manageable. For a large course library or established membership, I would recommend moving in stages and testing everything before closing the original account.

What if you use Skool, Teachable or Thinkific?

Again, it depends on the platform.

Skool

There is a dedicated Skool importer that supports transferring community members and posts into RMM Communities. This could be particularly helpful if you have built an active coaching community and do not want to start from an empty space. You will still need to check your community setup, courses, permissions and any existing payment arrangements. But having an importer for supported community content is a useful head start.

Teachable and Thinkific

With these platforms, you will generally need to review what course content can be downloaded or exported. Your existing videos, workbooks, PDFs and lesson text can often be reused to build your courses inside RMM. However, do not assume student progress, enrolments, quizzes and subscriptions will all transfer automatically. An established course business may need a more detailed migration plan.

And if your existing platform is working well, you do not necessarily need to move it immediately. You could begin using RMM for your enquiries, bookings and follow-up while leaving your courses where they are until you are ready.

Moving from HubSpot, Keap or Pipedrive

Perhaps you are an established business coach with a more sophisticated client management system. You have got contacts, deals, sales pipelines and follow-up processes already in place. The good news is that you do not necessarily have to rebuild all of that manually either.

RMM's underlying platform has a dedicated HubSpot importer. It supports transferring a range of CRM information, including contacts, deals, pipelines, stages, custom fields and other supported records. That is particularly useful if you have already organised your enquiries and potential clients into a structured sales process.

For Keap, Pipedrive and other CRM platforms, there are documented migration methods, although you may need to use exports, imports and manual configuration. The important thing is to check that the information you rely on has transferred accurately. If you are using automations to follow up with potential clients, those processes will also need reviewing.

My advice? Move your essential client and enquiry information first. You can tidy up and improve your processes as you become more familiar with your new system.

What about your website? Can AI recreate it?

This is another area where things have changed considerably. Perhaps you have already got a website on Wix, Squarespace or WordPress. It has your branding, your coaching services, your testimonials and all the information potential clients need. And the last thing you want is to spend weeks redesigning it. Well, you may not have to.

RMM's AI website tools can help build new pages

You can now use AI to create websites and funnels from instructions, reference images and existing website URLs. For example, you could ask: Create a professional website for my confidence coaching business, with a homepage, about page, services page and a free discovery call booking page. Use my brand colours and make it warm and welcoming.

The AI can help create the layout, copy and structure. You can then ask for changes, rather than having to manually redesign every section. You can also use an existing website as a visual reference. That does not mean it automatically produces a perfect copy, including all your functionality, links, SEO settings and integrations. Those still need checking. But it gives you a much quicker starting point than a blank page.

What if you have already got a WordPress website?

You have options. You can keep your existing WordPress website and connect RMM features to it. You could also look at supported WordPress hosting migration options if you want to bring more of your setup together. That does not automatically mean your website has to be rebuilt in RMM's page builder. And that is the point.

You get to decide what makes sense for your business. If your current website is doing a great job, there may be no reason to change it just yet.

What about your forms, funnels and lead magnets?

If you are already collecting enquiries using Typeform, Jotform, ClickFunnels, Kartra or another platform, these are worth looking at too. You may have a free guide that people download. Perhaps you have got a quiz that helps potential clients identify what they need. Or maybe you have built a funnel that sends someone from a Facebook post to an enquiry form and then into an email sequence.

RMM has its own forms, surveys, funnels, landing pages and automations. So you can recreate many of those processes within one system. ClickFunnels actually has a dedicated funnel importer that can bring your funnels directly into RMM, and there are documented migration guides for Kartra, Typeform and Jotform too. The important distinction is that having a migration guide does not necessarily mean everything can be imported automatically. Some pages, form structures and integrations will need rebuilding. But the AI page builder and workflow tools can help reduce the amount of manual work involved.

And if you are using our Coaching Client System, you have already got a ready-made starting point for capturing enquiries and following up with potential clients.

Can RMM replace Zoom as well?

For many coaches, potentially yes. And this is another recent improvement worth knowing about. Ready Made Marketer now has Meeting Rooms enabled for members. This means you can host video meetings directly within your RMM account, rather than automatically needing a separate Zoom subscription.

Depending on the meeting features you are using, you can access things such as one-to-one video meetings, group calls and discussions, screen sharing, meeting recordings, transcripts, AI-powered meeting summaries, and meeting links connected to supported bookings.

Imagine someone booking a discovery call through your RMM calendar, joining you in your Meeting Room and then having their enquiry and follow-up managed within the same system. That is considerably less jumping between different platforms. Of course, if you are using advanced Zoom features, check that Meeting Rooms provides everything you need before cancelling. But for everyday coaching calls and client meetings, it is another opportunity to simplify things.

And what about Stripe and your existing payments?

If you are already taking payments through Stripe, you can connect a supported Stripe account to RMM. This allows you to use RMM's payment features without necessarily opening an entirely new Stripe account. You can create payment links, sell coaching programmes, collect payments for appointments and manage supported products and subscriptions.

But there is an important distinction. Connecting Stripe does not automatically bring every historical payment and existing subscription into RMM. Recurring payment arrangements, existing customers and subscription products need reviewing carefully. You do not want to disrupt anyone's payments or accidentally charge someone twice. If you have got an established membership or clients on recurring payment plans, I would recommend sorting out this part before switching off any existing platform.

Here's where AI makes the move considerably easier

So far, we have looked at what you can connect, import or rebuild. But I think one of the biggest changes is how much help you can now get from AI within RMM itself. Because moving to a different system is not just about transferring data. It is also about getting everything set up the way you want it. And that used to involve a lot more manual work.

Ask AI can help you create workflows

You can describe the automation you want in normal language. For example: When someone fills out my coaching enquiry form, add them to my enquiries pipeline, send an acknowledgement email and remind me to follow up if they have not booked a call. Ask AI can create a workflow draft based on those instructions. You can review it, ask for changes and then test it before publishing. It can also help you make conversational changes to supported workflows, rather than starting over each time you want to adjust something.

Ask AI can help create and update emails

If you have already got email content, you can use it as the basis for your new templates. Ask AI can help create and edit supported email designs. Perhaps you want to change your free guide link, rewrite a section, adjust the branding or create a new follow-up email. You can ask for those changes in ordinary language. Supported email templates can be updated through the AI interface, although you will still need to check your links and settings before sending.

Ask AI can help with everyday account management

It is not limited to writing emails. Ask AI also supports actions across many parts of the platform, including contacts, tags, opportunities, calendars and supported marketing assets. So instead of having to learn every menu immediately, you can ask it to help find information or complete supported actions. For example: Find all my contacts tagged as discovery call enquiries. Or: Create a pipeline to track new coaching enquiries, booked calls and new clients.

Depending on the task, Ask AI can help you create, find or update the relevant information. It can also work with supported links and marketing assets, although you should never assume one instruction has replaced every instance of an old link throughout your account without checking.

AI is not going to make every migration completely automatic. But it can remove quite a lot of the technical work that used to make setting up business software feel so intimidating. And that matters when you would rather be spending your time coaching clients.

How much time does moving everything actually take?

This is probably the question you are still wondering about. And the answer depends on what you have already got. If you are running a relatively straightforward coaching business with a website, booking calendar, email list and a few follow-up sequences, you may be able to get the essentials working in a handful of focused sessions. If you have got multiple courses, hundreds of students, a team, complicated workflows and ongoing subscriptions, there will naturally be more to organise.

Here are some approximate hands-on time allowances to give you an idea.

Indicative setup times (planning estimates, not guarantees)

TaskIndicative time
Connect Google or Outlook Calendar10 to 30 minutes
Connect an eligible Calendly account10 to 30 minutes
Create a simple booking calendar30 to 90 minutes
Import a clean contact list15 to 60 minutes
Connect Stripe15 to 45 minutes
Recreate a basic email sequence using AI assistance1 to 3 hours
Create a simple AI-assisted landing page30 to 120 minutes
Import a Kajabi courseVaries depending on the course and testing needed
Move a complex membership or websiteSeveral hours to multiple days or more

These are illustrative planning estimates, not guaranteed setup times. They do not include every possible technical problem, design adjustment or migration requirement. But here is what I really want you to understand.

You do not have to finish every single job before you can start using RMM. You can move your business gradually. And for most coaches, that is what I would recommend.

How I would approach moving an established coaching business

Rather than turning this into one enormous project, I would break it into five manageable stages.

Step 1: Take stock of your existing tools

Make a list of every platform you are currently paying for. Write down what each one does and how much you are spending. You might be surprised by the overlap. Then decide what you want to keep, connect or replace.

Step 2: Start with enquiries and bookings

For most coaches, I would begin with the parts of the business that help turn interest into paying clients. Your website or landing page. Your enquiry form. Your booking calendar. And the follow-up that happens when someone shows an interest. Get those working first. That way, you are building the foundations of a simpler client journey before moving the less urgent parts of your business.

Step 3: Transfer your contacts and essential information

Export your contacts and relevant customer information. Check the data, including tags and marketing permissions, before importing it into RMM. Once imported, make sure the important information has come across correctly.

Step 4: Rebuild or connect your other systems

Now you can work through your email sequences, courses, payments and any other tools you want to move. Use the available migration tools where possible. Use AI to help rebuild what cannot be imported. And keep anything that is still working perfectly well until you are ready to replace it.

Step 5: Test before cancelling anything

This is really important. Book a test appointment. Complete your own enquiry form. Check your email follow-up. Make sure payment links work. Test your course access. And check that your existing clients will not be affected by the change. Once you are confident the new system is working, you can begin cancelling the subscriptions you no longer need.

But what if you're not very technical?

You might be reading this thinking, It all sounds lovely, Sam, but I would not know where to start. And I completely understand why. You did not become a coach because you wanted to spend your days sorting out software. You became a coach because you wanted to help people. And although technology can make running your business easier, getting everything connected can sometimes feel like a job in itself.

That is one of the reasons Steve and I put so much emphasis on support with Ready Made Marketer.

You are not simply handed a login and expected to figure everything out alone.

Weekly 1:1 support

Our RMM members have access to weekly 1:1 support, so you can get guidance with the things you are actually trying to achieve. Whether that is setting up a booking calendar, understanding an automation, connecting another tool or deciding what to move next. You can work through things with support rather than spending hours trying to piece together instructions from different places.

A member community

You will also have access to our RMM community. You can ask questions, learn from other members and see how people are using the system in their own businesses. And sometimes it is reassuring to know that someone else has already worked through the very thing you are trying to do.

A Facebook chat thread for help

We also have a dedicated Facebook chat thread where members can ask questions and get help. So if you are working on something and get stuck, you have got somewhere familiar to ask. You do not need to feel as though you are on your own with the technical side.

And for coaches, we have made getting started even easier

We have created something specifically for coaches called the Coaching Client System. It is designed to help you turn interest from places such as Facebook into enquiries, booked calls and paying clients. Instead of starting with an empty RMM account, the Coaching Client System gives you a foundation that includes a simple website and opt-in process, forms for collecting enquiries, email follow-up, booking calendars, a pipeline to track potential clients, and tags and automations to help manage the next steps.

And we will personally install and configure it for you during your 14-day trial. You complete a short form with your business details and branding, and we take care of the initial setup. That means you can begin with something useful already in place. If you have got a more established business and several systems to transfer, we can help you understand the options and where to start. Larger or more complicated migrations may need additional work, but you will not be expected to work out every decision entirely on your own.

Will moving to RMM actually save you money?

Potentially, yes. And the more separate tools you are currently paying for, the more worthwhile it may be to compare your costs. Think about your current subscriptions. Calendly for appointments. ActiveCampaign or Mailchimp for emails. Kajabi for courses. Zoom for calls. Perhaps another platform for your website, another for funnels and another for scheduling social media content. Now compare that with having many of those functions available through RMM. You may be able to reduce the number of separate subscriptions you are paying.

But I would not tell you that every coach will automatically save money. Some features and services may have additional charges, including usage-based email, messaging, AI or other optional services. And you may decide to keep certain specialist platforms.

The real question is whether you can create a simpler, more cost-effective way of running your business. Because it is not just about the money. It is also about your time.

The time spent switching between systems. Trying to work out why something has not connected. Updating the same information in several different places. And checking whether someone who enquired about your coaching has actually received the right follow-up. If you can reduce some of that work, you have got more time to focus on your clients and growing your business.

You don't have to start all over again

If there is one thing I would like you to take away from this, it is that moving to a new system does not mean throwing away everything you have worked hard to build. Your email list is still valuable. Your courses are still valuable. Your existing website content, client information and processes are still valuable. The question is how best to bring those things together.

Some can be imported. Some can be connected. Others can be recreated, often with a helping hand from AI. And some might be better left exactly where they are for now. You do not need to make the move overnight. And you certainly do not need to become a technical expert to begin simplifying your coaching business.

Start with what matters most, get that working properly and build from there.

Wondering how your existing tools would work with RMM?

If you are currently using Calendly, ActiveCampaign, Kajabi, Zoom, WordPress or any other combination of coaching tools, I would be happy to help you explore your options. You do not have to commit to moving everything. And you do not have to know all the technical answers before we talk. Just tell me what you are currently using, what you would love to simplify and what is making you hesitate. We can look at what can be connected, what might transfer and what you would need to set up differently.

Or, if you are ready to see what is possible, you can start a 14-day free trial of Ready Made Marketer and have our Coaching Client System installed and configured for you. You already know how to coach your clients. Let us make the systems behind your business a little easier to manage.
